1. Scope
This policy applies to paid work only when incorporated into the accepted project agreement. This public website currently provides inquiry and policy-request facilities rather than an online checkout. Sending a message creates no payment obligation.
Any specific negotiated cancellation term applies subject to mandatory law. This policy does not impose a blanket “no refunds” rule or remove a statutory cooling-off period.
2. How to request a cancellation or refund
Use the Policy Request Centre and select “Cancellation / refund”, or use the authenticated project channel identified in your agreement. Identify the project or invoice reference, the change or problem and the outcome requested. Do not send passwords, payment-card details or banking credentials.
A cancellation request is recorded for review. An automated receipt is not a refund decision. We may need to verify the requester’s authority before changing or terminating a project.
3. Cancellation before work begins
Where the client cancels before work starts, prepaid sums are returned less only charges expressly agreed and lawfully recoverable for work already performed or approved, unavoidable third-party commitments. We provide an explanation of any deduction. A deposit is not automatically forfeited merely because it is called a deposit.
4. Cancellation after work begins
Subject to the agreement and applicable law, the closing account covers work actually performed within scope and approved non-recoverable third-party commitments up to the effective cancellation date. We credit payments already made and explain the calculation.
Unearned prepaid amounts remaining after lawful deductions are refundable. We do not automatically charge for all future work that will not be performed. Rights in paid deliverables and access to client data are dealt with under the agreed ownership and handover terms.
5. If we cannot deliver or a service is defective
If we cannot perform the agreed work, we notify the client and address a lawful remedy, which may include corrective work, an agreed alternative or a refund for the undelivered part. We do not force a service credit instead of a refund where the law requires money to be returned.
Raise a material defect against the agreed requirements so we can investigate and propose a remedy. A change of preference or a new feature request is considered separately from a failure to deliver the agreed work. Mandatory rights are unaffected.
6. Recurring services and external costs
Where hosting, support or another recurring service is agreed, its renewal date, notice period, cancellation method and effect on access must be disclosed in that agreement. This policy does not create an automatic subscription.
Third-party fees depend on the provider’s terms and the client’s approved commitments. We identify relevant restrictions before committing the client where reasonably practicable. We cannot use a third party’s restriction to avoid a refund obligation that the law places on us.
7. Statutory electronic-transaction rights
Where Ghana’s Electronic Transactions Act, 2008 (Act 772), as amended, applies, section 49 provides a seven-day cancellation period for qualifying service agreements, subject to its statutory exceptions. Beginning a service during that period requires the consumer’s consent for the relevant early-performance exception; custom software work is not automatically exempt merely because it is bespoke.
Section 47 addresses supplier information and remedies for disclosure failures; section 48 addresses performance and unavailability. Section 54 prevents contracting out of protected consumer rights. Applicable mandatory international protections also remain available. These rights take priority over contractual deductions or cancellation conditions.
8. Handling an approved refund
We confirm the amount, basis and payment arrangements after verifying the transaction and the requester. Refunds normally use the original lawful payment route where practicable. Any different destination must be independently verified to avoid fraud.
We comply with any statutory refund deadline that applies and otherwise explain the expected processing arrangements. Payment-provider processing may affect when funds appear, but does not excuse a legal deadline imposed on us. A disagreement can be raised through the complaints process.
